State of play

Time recording is an important tool for human resource planning in many companies. Regular evaluations can optimise the use of staff and increase productivity. However, traditional time recording, e.g. in the form of timesheets in the craft industry, is no longer up to date. With the increasing flexibility and agility of the world of work, digital (mobile) time recording is becoming increasingly important. It is important to bear in mind the judgment of the Court of Justice of 14 May 2019, which now obliges employers to record the working hours of employees in an objective, reliable and accessible system.

Technology and deployment

Description of technology

A time-recording system is software in the company for human resources management and customer order management. Staff management records the hours of presence of employees and in the contract management the work or hours performed as part of client orders. Modern time-recording systems nowadays perform the functions previously performed by the clocks.

Possible use scenarios

Recording of working time: Recording the hours of staff by login at the start of work, break bookings and logouts at the end of the job.

Human resources settlement interface: For example, overtime can be billed precisely by comparing contractually agreed hours and actual hours worked.

Holiday planning: Some systems are able to manage employees’ holidays and thus allow the entrepreneur to take into account the capacity actually available in his project planning.

Project time recording: By defining projects and activities, the nature and duration of different activities can be directly attributed to the project and the manual allocation is not applicable.

Accounting: At the end of the project, an invoice can be generated automatically based on project time recording.
